Privacy Policy

This Privacy Policy explains how Outbird ("Outbird", "we", "us") collects, uses and protects information when you use the Outbird Email Health tool ("the Service"), which analyzes the authentication, deliverability and reputation signals of an email sending account you connect.

1. Information we collect

• Account information — name and email address associated with your Outbird account.
• Connected inbox details — the email address, provider (e.g. Gmail, Outlook, Yahoo, Zoho) and, for IMAP/SMTP connections, the server details and credentials or OAuth tokens needed to access the mailbox.
• Scan results — SPF, DKIM, DMARC and other DNS records, blacklist status, and sending/placement signals produced by running a check.
• Profile details — role (company, student, other) and associated organization name you provide during setup.

2. How we use your information

• To run authentication, deliverability and reputation checks against your connected inbox and produce your health score.
• To maintain your account, show scan history, and let you reconnect or disconnect inboxes.
• To maintain and improve the reliability and accuracy of the Service.

3. SMTP/IMAP access and test messages

When you connect a mailbox, Outbird monitors it over SMTP and/or IMAP to read authentication headers, delivery signals and folder placement. As part of running a check, Outbird may also send outbound test messages, or send/receive reply messages, to and from that mailbox to measure deliverability and inbox placement. These messages are used only to produce your health results and are not shared with anyone else.

4. Data storage and security

Credentials and tokens are stored using industry-standard encryption and access controls. Scan results are retained so you can track changes in your score over time. We do not sell your data, and we only share it with the infrastructure providers (e.g. cloud hosting) needed to run the Service.

5. Data retention and deletion

You can disconnect a connected inbox at any time, which stops further monitoring of that mailbox. You may request deletion of your account and associated data by contacting us using the details below.

6. Cookies and sessions

The Service uses a small number of cookies to keep you signed in and to remember your preferences. We do not use third-party advertising cookies.

7. Children's privacy

The Service is not directed to children under 13, and we do not knowingly collect information from them.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
